Example workflow: capturing out of hours quote enquiries for a logistics operator
This is not a customer story. It is an example of how we configure a deployment for this industry. There is no named company, no testimonial and no performance figures on this page, because there is no customer behind it.
This is an example of how we configure Boafo Agent for a logistics or freight operator. It walks through what the agent asks, what it captures and where the enquiry ends up. It is a configuration walkthrough, not a customer result.
The problem
Quote enquiries in freight do not wait. A shipper who cannot get an answer moves on to the next operator on the list, often within the hour.
The pressure is worst outside office hours. Enquiries land in the evening and at weekends, when the dispatch team has gone home and the website form is the only thing still awake.
Web forms make it worse rather than better. They ask for an email address and give nothing back, so the person filling one in has no idea whether anyone will read it.
The solution
Boafo Agent sits on the operator website as a chat agent. It identifies itself as AI in the first message, so nobody is misled about who they are talking to.
The quote intake flow collects the things you actually need to price work: origin, destination, weight or pallet count, equipment type and ready date. It asks in plain language, one thing at a time.
Out of hours the agent says clearly that the team is closed, captures the enquiry in full, and tells the person when someone will come back to them. That is a real answer rather than silence.
Every completed enquiry is emailed to you immediately and written into a Google Sheet you control. On Growth it can also be posted into your CRM.
When someone wants a human, the agent stops trying to help, says so, and hands over with the conversation summary attached, so whoever picks it up is not starting cold.
What this changes, and what we will not claim
We do not publish performance figures for example workflows, because there is no customer behind this one to measure. What the set up changes is specific and verifiable: an enquiry that arrives at 9pm on a Saturday is captured with the load details attached, instead of sitting in an empty inbox as a name and an email address.
The measurable effect on your own numbers depends on your enquiry volume and your average job value. The missed call cost calculator works that out from figures you put in yourself rather than from ours.
Without the agent, and with it
| What happens | Without Boafo Agent | With Boafo Agent |
|---|---|---|
| Out of hours enquiry | Web form with no reply | Answered, details captured, expectation set |
| Enquiry detail | Name and email only | Route, weight, equipment and ready date |
| Where it lands | Shared inbox | Email alert plus a Google Sheet you control |
| Handover to a person | Caller repeats everything | Conversation summary passed across |
| Phone calls | Rings out to voicemail | Not covered yet, voice is on the roadmap |
Implementation playbook
Step one is the content pass. We read your website, your service list and your pricing page, then train the agent on what you actually offer and how you describe it. You review the answers before anything goes live.
Step two is the enquiry pass. We agree what the agent needs to collect on every enquiry, and where it goes: your inbox, a Google Sheet you control, or both. On Growth we can post it into your CRM.
Step three is go live. We give you a single line of code for your site, or we add it for you. Most set ups are answering enquiries within 24 hours.
Step four is tuning. You read the conversation summaries in the first week, tell us what the agent got wrong, and we adjust the answers. That loop is included, not billed as extra work.
What is next
Voice and phone answering is on the roadmap and is not live today. Everything described on this page happens in website chat.
If you want to see this running on your own site, book a demo. We train the agent on your live website first, so you are looking at your own answers rather than a generic script.
